Qualifications:
- Make use of a phone system with many lines to accept messages and direct callers, as well as answer questions.
- Make sure staff members are aware of their whereabouts and uphold thorough sign-out/sign-in processes for both visitors and on-site staff.
- Welcoming visitors, employees, messengers, and study subjects. Guests should be escorted or guided to their destinations when the nature and purpose of the visit have been established.
- Coordinate data collection and database updates for new recruits, employee tracking, and annual compliance trainings.
- do more filing, copying, collating, and faxing as needed.
- It is their responsibility to facilitate requests through the Computerized Maintenance Management System (CMMS), as well as follow-ups and backup training coverage.
- Record all office and file cabinet keys in a logbook and maintain a sign-out sheet for all office supplies.
- Administrative tasks including invoicing, data entry, word processing, generating new case files, and drafting correspondence are taken care of.
- Attend staff meetings for the office of operations, finance, and performance management, as well as other meetings as needed.
- All incoming calls must be answered, screened, and forwarded as appropriate, and basic information must be provided as needed.
Skills:
- Follow-up is excellent and respectful, as is communication and empathy for clients, staff, and professionals.
- Essential computer skills include the ability to use the Internet and a working knowledge of Microsoft Office products including Word, Excel, Access, and PowerPoint.
- Ability to work under pressure and meet strict deadlines has been demonstrated.
- A meticulous eye for detail is essential to ensuring that all front-desk complaints are properly recorded and addressed in a timely manner.
- Experience working as an administrative assistant or receptionist in a fast-paced office setting is preferred.
