Job Description

We’re looking to fill the role of receptionist at the front desk. In addition to general office duties, this employment also involves interacting with customers. The front desk receptionist’s duties include meeting and greeting guests, answering the phone, handling both routine and urgent queries, and other administrative tasks.

Qualifications:

  • Uses a multi-line telephone system to politely and efficiently answer and direct calls to the appropriate departments. Employs a courteous and businesslike demeanor in using the office intercom.
  • Manage specialized administrative tasks, such as extra departmental and executive assistant work.
  • When clients have questions or concerns that go beyond the scope of what may be addressed by the general information provided in response to their usual inquiries, they are directed to the corporate office manager.
  • Learn the steps to taking care of client issues from beginning to end.
  • Keep an up-to-date file or listing of residents, including their names and room numbers, as well as emergency phone numbers for callers, department extensions, critical personnel, etc.
  • maintains up-to-date versions of all relevant documentation at all times. controls the off-site storage and box-shredding process. control the servicing and upkeep of copiers.
  • Inspect each office to ensure that it meets the standards for safety, maintenance, and cleanliness set by the company.
  • Make sure visitors/guests follow the guidelines in place and deny admission to anyone who requests it.
  • Assists visitors with checking in and issuing identification badges in a manner consistent with security protocols.
  • Engage in and attend mandatory training events (workshops, seminars, etc.), as well as in-service training and on-the-job training programs.

Skills:

  • Skills in multitasking, managing time effectively, and setting priorities are necessary.
  • Experience working as a front desk clerk, receptionist, or a similar role is preferred.
  • ability to juggle multiple duties, projects, and details at once.
  • demonstrated proficiency in managing a calendar and knowledge of setting up appointments.
  • Ability to organize and prioritize multiple tasks and produce reports under strict guidelines.
